WatchVault Shipping Guidelines

In the luxury watches environment, securing a deal is only half of the equation, as physical transportation represents one of the most delicate phases of any transaction. When transporting high-value assets worth thousands of euros, a reliable and secure infrastructure is crucial for your peace of mind. That’s why WatchVault enforces strict logistics standards designed to mitigate risk and to safeguard buyers, sellers and dealers.

Core rules of WatchVault shipping

Before preparing a watch for transport, every WatchVault user must adhere to two requirements:

  • The 48 hour Dispatch window:Transactions must close quickly. Upon deal confirmation and verification of buyer payment via WatchVault escrow service, the seller — whether a Private Seller, Professional Dealer or WatchVault Operations — is required to dispatch the timepiece within 48 hours. Failure to dispatch within this window compromises seller status on the WatchVault platform and increases transaction cancellation risks.
  • Mandatory Full Value insurance:Transactions must be secure. All transactions must be insured for 100% of the agreed deal value from the exact moment handover to the designated carrier or armored team occurs. Uninsured or under-insured shipments are strictly prohibited and will result in a permanent ban from the WatchVault platform.

Shipping safely with neutral packaging

Explicitly branding on an outer box is an invitation for theft. To secure a package against interception, the outer packaging must remain completely anonymous. A picture of the package is required before shipping for all transactions, to ensure compliance to our terms.

  • Safe packaging:A luxury watch set must be double-boxed to prevent expensive mistakes during transportation. Place the watch inside its original manufacture box and wrap everything in multiple layers of bubble wrap to prevent internal movement. Then place this inner box into a larger, rigid outer corrugated box. Ensure there is at least 2 to 4cm of cushioning material (air pillows or foam density) surrounding the inner box so it cannot shift during transit.
  • Absolute anonymity:The exterior packaging must be completely plain and unbranded. Never reuse boxes featuring luxury brand logos, manufacturer tape, or retail store names. Be careful also with the shipping label, it should never include watch brand names, horology terms or explicit WatchVault branding. When writing sender or recipient details, use discreet individual names.
All outer packaging and shipping labels must remain completely anonymous

Express courier vs. Armored transport

WatchVault structures its logistics across two distinct transaction value tiers:

Transactions under 75.000€

For transactions valued under 75.000€ shipments are executed via high-speed priority express couriers paired with specialized third-party transit insurance. Insurance coverage typically costs approximately 1% of the insured item value (Ex. 500€ for a 50.000€ timepiece), while Priority Express shipping is usually available for a surcharge capped at around 50€ per shipment.

  • Why Priority Express and additional Insurance are required:The less time the package is in transit, the less time it’s exposed to the risk of theft. In addition, conventional carriers insurance on parcels often maxes out at 1.000€, explicitly excluding luxury timepieces from standard coverage.
  • Specialized transit insurance:WatchVault requires 100% of value transit insurance underwritten by specialized insurance partners – such as XXX – this ensures that in the event of loss, damage, or theft during transit, the entire transaction value is fully protected.
  • Direct handover:Sellers and buyers must exchange parcels directly through an official transit partner – such as XXX – representative. Leaving parcels at unmonitored drop-off points or public collection boxes is strictly forbidden, as a formal tracking scan and physical deposit receipt are required to activate insurance coverage.
  • Optional Armored transport upgrade:Buyers and sellers who prefer additional security for timepieces valued under 75.000€ may request Armored transport, but different rates might apply.

Transactions over 75.000€ & WatchVault Operations

For high-value sales exceeding 75.000€ – as well as all WatchVault Operations deals – standard courier networks are bypassed entirely in favor of dedicated high-security transport. Transportation and full-value insurance are fully integrated into the service, typically costing between 1% and 1.5% of the total transaction value (Ex. 2.000€ for a 150.000€ timepiece).

  • Armored logistics:High-value timepieces are transported using specialized armored security services equipped with strict logistics protocols.
  • Total protection:These services utilize armed personnel, tamper-evident security containers and direct, uninterrupted transit chains to eliminate exposure between collection and delivery.

Final tips

Door-to-Door transfers and receipts:Always ensure to select door-to-door transfer with signature and never hand over a package to a courier without receiving handover receipt confirming the parcel tracking number and date of collection.

Upload tracking to WatchVault:Once the shipping is available, log the tracking number into your WatchVault Dashboard. This action updates the order status, notifies the buyer and validates compliance with the 48 hour Dispatch window.

Return shipping method:To maintain uncompromised security, any return shipment must be processed via the same transit option used for the original delivery (Express courier or Armored transport) with the original packages.
